Terms & Conditions

Acceptance of terms and conditions 

By booking, or attending a swimming lesson with Glover’s Swim School, you accept the terms and conditions shown in this document and they will form a binding contract between you and us.

 

Changes to Terms and Conditions

From time to time Glover’s Swim School may update these terms by sending you either an updated version or notification of minor changes.

Booking conditions

Bookings can be made over the phone by calling 01772 802140 or by using our online booking system.

Upon booking lessons with us you must provide us with the relevant information we require. It is your responsibility to update make any changes to personal or contact information which you can do through your unique Swimphony account. A link to create an account will be sent via e-mail once you have booked onto a course with us.

Payments 


Payments are taken via card payments for the initial payment and monthly direct debit there after. Failure to set up the Direct Debit correctly on the date specified may will result in a £5 administration charge. 

If despite us having notified you of a missed payment, further payments are missed, we reserve the right to refuse your child entry to the pool. Outstanding debts will be passed over to our chosen debt recovery agency, who have the right to add their own debt collection charges. 

Direct Debit payments will charge you specifically for the number of lessons you have in that month. For example if there are 5 Mondays in the month you will pay for 5 lessons, rather than a set monthly subscription with a fixed amount. If you attend lessons at one of our venues that operate term time only you won’t be charged when lessons aren’t going ahead. Please DO NOT cancel your Direct Debit payments during the months where lessons aren’t going ahead as you automatically will not be charged for that month.

Lesson cancellation 

We require 4 weeks notice should you wish to stop lessons at any point. Written cancellation must be sent through to; Office@Gloversswimschool.Co.Uk. Cancellation will be accepted and processed once we have responded to your e-mail with confirmation of your cancellation. Please note we DO NOT accept notice of cancellation by phone, WhatsApp, Social media platforms, etc. 

Please note that notice of cancellation will be taken from the date we receive the e-mail.  

4 weeks notice: If your notice is sent after your lesson on that, the lesson you have just received will not be included.

Missed lessons are non-refundable. 

 

The Direct Debit Guarantee

This guarantee is offered by all banks and building societies that accept instructions to pay Direct Debits.

If there are any changes to the amount, date or frequency of your Direct Debit GoCardles will notify you 3 working days in advance of your account being debited or as otherwise agreed. If you request GoCardless to collect a payment, confirmation of the amount and date will be given to you at the time of the request.

If an error is made in the payment of your Direct Debit, by GoCardless or your bank or building society you are entitled to a full and immediate refund of the amount paid from your bank or building society - If you receive a refund you are not entitled to, you must pay it back when GoCardless asks you to.

 

Refunds and cancellations / pool closures

If you are unable to attend a 1:1 or 2:1 lesson, or If your child is in group lessons and is going to miss two or more lessons, please contact us on 01772 802140 at your earliest convenience.  

If you are self isolating due to Coronavirus, waiting for a test, have symptoms or are confirmed to have Coronavirus, payment for lessons is still required and our normal terms and conditions apply, regarding absence due to illness.

In the event of us having to cancel a lesson we will offer an alternative lesson slot. We are under no obligation to provide refunds.


In the instance that a pool cannot not be in use in the short term, we will endeavour, where possible to re-schedule your lessons. In this instance, Glover’s Swim School are not responsible for any travel expenses. 

Where a pool is not available on a long term basis (in excess of 2 weeks), on public health or other grounds outside our control, we cannot be held responsible for providing any further lessons for you within that time. If this occurs, and in the event that it is not possible to reschedule the classes, we will hold credits for these lessons on your account to be used within a 12 month period from when swimming lessons resume. 

Pool closures happen on rare occasions, making it necessary to cancel lessons. If it is possible, we will contact you through the email and/or by text, using the contact number you have provided, giving you as much notice as possible. 

If you are a new client and you cancel a booking for the upcoming course at any time prior to the course commencing / first lesson, any initial payment made upon booking is non-refundable.

If the term has started, Glover’s Swim School is under no obligation to refund any part of the course fee. This does not include the 4 weeks notice period.  

Glover’s Swim School are under no obligation to offer refunds in the event that you are unable to attend part of or the entire course. We also regret that we are unable to offer any alternatives for missed lessons on your behalf. 

Data protection (GDPR) 

All personal information provided by you will be held by Glovers Swim School, Business First, Millennium Road, Preston, PR2 5BL. 

By enquiring, visiting, attending, registering and/or communicating you consent to the use, collection and hold of information under the terms of this policy.

Instructors

Glover's Swim School, only work with Independent Swimming Teachers who are fully qualified, insured, and have current Enhanced DBS (Disclosure and Barring Service). 

We strive to provide consistent teachers for your child/children's class, however when unavoidable we reserve the right to replace advertised instructors, all replacement teachers will be fully qualified.  

Photography

Please note that due to child protection regulations we do not allow photography or video recording and any Glover’s Swim School lessons. Please see our Safeguarding and Child Protection policy for more information. 

From time to time we will take pictures and record videos for promotion of our business. 

If you do not wish for photos or videos of you or your children to be taken, please inform us and by sending an e-mail to Office@Gloversswimschool.Co.Uk

Photographs/videos are taken to: 

  • Record Staff For Feedback And Training Purposes.

  • Support The Learning Of Each Child's Individual Record.

  • Illustrate The Sessions Ran By Our Instructors At Glover's Swim School.

  • Promote Sessions On Social Media, Use As Web Content Or Other Marketing Tools.

Medical

Medical conditions and additional needs must be disclosed to Glover’s Swim School. All information is treated in confidence and sensitivity, any updates to medical details can be made through your Swimphony account. 

Any illness notified from the swimmer is decided on by the discretion of the instructor, as to whether they can enter the pool and its facilities or not. 

Missed lessons due to sickness, are non-refundable unless in line with our cancellation policies as outlined above. If a doctor’s note is obtained and a child is going to miss more than 3 lessons, please contact us: 01772 802140/ Office@Gloversswimschool.Co.Uk. Glover's Swim School are under no obligation to give a refund.  

Code of conduct for Swimmers

Please arrive for your swimming lesson on time. 

Swimmers must not eat for at least 1 hour before your child’s lessons. 

Swimmers must wear a hat and goggles for their lessons unless they have a medical reason for stopping them doing so. Swimmers in our Aqua Babies programme don't require a hat and goggles. 

Unless instructed to by a member of the Glover's team avoid entering the poolside any earlier than 5 minutes before your lesson. 

Do not enter the pool until instructed to do so by your teacher. 

Respect your teacher and listen to their instructions, if you aren’t sure of anything then please ask. 

If the instructor deems behaviour unsuitable, such as; shouting, throwing, jumping etc, they have the right to warn the individual and if the behaviour persists, the right to ask them to leave. 

Remove any Jewellery such as ear rings, chains, necklaces before your lesson. 

Wearing spectacles during lessons is not recommended. Glover’s Swim School cannot be held responsible for the loss or damage to spectacles during lessons. 

Swimmers must not attend their lesson if they have any illness or infection such as; flu, chicken pox, impetigo, or conjunctivitis. We advise not to attend lessons 48 hours after sickness and diarrhoea. 

Each instructor will inform swimmers of the appropriate attire expected to be worn whilst at the pool. If you do not adhere to this information, the instructor has the right to refuse access to the session until swimwear is changed. 

Where appropriate, please use swim nappies. All young children unable to use the toilet facilities, must adhere to wearing double or leak-proof protection. Glover’s Swim School reserves the right to refuse admission to the pool without the appropriate swimwear. 

At the request of all pool owners/management, used or soiled nappies should be disposed of in the correct bins or if unavailable please double bag and take home

 

Code of conduct for Parents / Guardians / Spectators

All children attending Aqua Babies programme must be accompanied in the water by a parent or guardian. 

Customers attending our Aqua Babies programme are responsible for the chid in their care before, during and after their lessons. 

A responsible parent / guardian must be present at all time during your child’s lessons. The child must not be left at the venue without guardianship. 

Customers must follow the rules and procedures specific to the venue they attend lessons at. 

Please do not take any food or drink onto poolside or in the changing area. Water is accepted. 

Outdoor footwear must be removed before entering poolside. Pool shoe covers are available at some of our venues.

There is only one parent allowed to bring their child to lessons. For more information on the specific guidelines for each venue check your booking information on contact us on; 01772 802140/ office@gloversswimschool.co.uk

 

Speaking with the Instructors

We welcome feedback from customers, we politely ask parents/guardians to refrain from talking to Teachers as this leads to lessons being unnecessarily interrupted. If you have an enquiry please call us; 01772 802140/ Office@Gloversswimschool.Co.Uk. If the matter is urgent, please speak to the Office Team who will then speak with the Teacher. 

Responsibility and Liability

Any property or valuables left by customers at any of the venues we use if left at your own risk. Glover’s Swim School will not accept liability for lost, stolen, or damaged articles.   

All lost property will be kept at the venue which It was found at for a period of 2 weeks. If the item Is not claimed during this period then we will dispose of the item, we cannot be held liable for items found at stored by a member of the Glover’s Swim School team.

Pool safety

In the event of any emergency the person in charge will follow the pools Emergency Action Plan (EAP). 

All swimmers and spectators will immediately stop what they are doing and wait quietly for further instructions. 

Should it be necessary to clear the pool, when the instruction is given, all swimmers will move to the sides of the pool, leave the water and stand back from the side. 

Should it be necessary to evacuate all spectators, instructors and swimmers from the building no attempt should be made to recover possessions from the changing rooms or anywhere else within the building.
